Program Co-Ordinator

Our programs, typically spanning 6–12 months, rely on strong coordination and collaboration to ensure smooth onboarding, effective delivery, and outstanding client satisfaction.

Position Summary:

As a Program Coordinator, you will support the Head of Customer Success by overseeing all aspects of program coordination—from onboarding new clients and coaches to scheduling sessions and tracking progress. You will serve as the crucial link between clients, coaches, and internal stakeholders to guarantee that every engagement runs seamlessly and meets its objectives.

Key Responsibilities:

  1. Client Onboarding & Communication
    • Coordinate end-to-end onboarding for new customers, including welcome emails and initial setup.
    • Manage ongoing email communications to keep clients informed of program milestones, actions, and deadlines.
  2. Scheduling & Coordination
    • Organize and schedule both group and 1:1 coaching sessions, ensuring availability for all participants.
    • Follow up with clients and coaches to confirm participation and manage any rescheduling needs.
  3. Program Tracking & Reporting
    • Maintain program dashboards and generate reports on key metrics, progress, and outcomes.
    • Monitor client satisfaction and program effectiveness via surveys, assessments, and feedback loops.
    • Ensure compliance with all client SLAs, proactively monitoring deadlines and deliverables.
  4. Stakeholder Follow-Up & Administration
    • Maintain regular communication with client stakeholders to complete surveys, assessments, and session bookings.
    • Coordinate with client finance teams to follow up on payments, invoices, and related administrative tasks.
  5. Documentation & Organization
    • Organize and maintain updated program files, communication logs, and key documents in shared repositories.
    • Provide clear and timely updates on project status to internal teams.
  6. Coach Onboarding & Enablement
    • Oversee the onboarding process for new coaches, providing access to training materials, templates, and relevant tools.
    • Act as the primary point of contact for coach queries related to program procedures and best practices.
  7. Additional Responsibilities
    • Collaborate with the Head of Customer Success and other team members to refine processes, improve tools, and enhance the overall client experience.
    • Assist in special projects, research, or initiatives as needed to continually raise the bar on program delivery.

Qualifications & Skills:

  • Bachelor’s degree in IT, Business, Marketing, Communications, or a related field (or equivalent experience).
  • Strong organizational skills with exceptional attention to detail.
  • Excellent written and verbal communication skills; comfortable liaising with multiple stakeholders.
  • Proficiency in project management and collaboration tools (e.g., Teams, MS, Google etc.).
  • 1–3 years of experience in customer facing responsibilities, program coordination, project management, or customer success (preferably in B2B settings).
  • Ability to handle multiple tasks simultaneously and meet deadlines in a fast-paced environment.
  • A proactive, problem-solving mindset with a customer-centric approach.
  • Familiarity with IT product/services or B2B sales environments is a plus.
